Use case
The Ophthalmology Clinic at Oulu University Hospital is one of the hospital’s largest outpatient clinics. The operation spans two floors and multiple waiting lobbies. Each day, as many as 250 patients pass through the clinic, and even on the quieter days, the number never drops below 80.
Many patients have several different appointments – ranging from examinations and imaging to consultations – all on the same day. This makes managing processes exceptionally challenging. Without effective patient flow management, daily operations would become chaotic and require significantly more staff.

“We simply couldn’t manage without Axel anymore. It would be complete chaos, or we’d need so many secretaries and escorts that you just can’t find them anywhere these days.”

The patient’s journey begins at the clinic’s main lobby, where they check in at a self-service kiosk and receive clear instructions on which floor and waiting lobby to proceed to.
When the patient arrives at the correct waiting lobby, they check in again at the self-service kiosk and receive confirmation that they are in the right place.
If a patient accidentally goes to the wrong waiting lobby, the self-service kiosk in that lobby will guide them to the correct location. In addition, healthcare professionals can see in Axel where the patient last checked in and, if necessary, personally direct the patient to the right place.

Staff use Axel in a variety of ways, such as monitoring the effect time of pre-medication. The nurse calls the patient in, administers the pre-medication, and places the patient on pause in Axel. The physician can then track in their own Axel view when the medication has taken effect for the appropriate duration.
Axel also enables more flexible patient management for healthcare professionals. In emergencies, or when a scheduled patient's condition requires it, patients can be transferred directly from one professional to another within Axel – without the need for advance reservations in the patient information system. Professionals can also call in patients in any order they choose.

Axel’s patient flow management brings transparency to the ophthalmology clinic’s care process and makes it easier to monitor patients’ physical locations. Staff can focus on patient care while wait times, transfers, and patient statuses are updated automatically.
With real-time insights, staff always know the current patient situation and the locations of patients within the clinic. Managers use Axel to monitor resource and room utilization, and can reallocate personnel as needed to balance workloads and ensure care availability, even during the busiest days.

Axel manages patient check-ins, monitors waiting times, and coordinates patient transfers seamlessly in the background. Patient flow is predictable and transparent – staff always have real-time visibility into each patient’s status, and communication occurs effortlessly within the system, eliminating unnecessary paperwork and phone calls.
Employees can focus on providing care while patients move smoothly and punctually between appointments.
At the Ophthalmology Clinic, Axel is more than just a support system - it’s an essential, everyday tool that professionals rely on in a wide range of situations.
Nurses, physicians, and supervisors have each found ways to use the platform that support both the patient journey and the clinic’s overall operations. From the patient’s perspective, the experience is clear and trustworthy: finding the right place is easy, wait times are managed, and care progresses smoothly.
Core features of Axel have become invaluable tools throughout the clinic, supporting everything from check-in to monitoring the effects of pre-medication and facilitating flexible patient transfers to meet the diverse needs of the entire unit.
New employees are introduced to Axel from day one, as a fundamental part of daily routines - just as essential as the electronic health record system. Its use is so ingrained that it’s hard to imagine a workday without it. Patient flow management relies on the data provided by Axel, enabling the entire clinic to operate like a well-oiled machine. As one customer put it: “For us, Axel is so vital that without it, everything would come to a halt.”
